FAQ
What happens after I reserve a pilot spot?
We contact you to arrange setup and confirm the start date. You share your sites, crew list, preferred languages and logging schedule. We help each worker agree to receive WhatsApp prompts and send a first reply. The pilot is personally managed; a self-service dashboard is planned, not currently available.
Does HeatProof join our crew’s WhatsApp group?
No. Each worker has a private WhatsApp conversation with HeatProof, and the supervisor receives a separate summary. Keep your existing group for normal coordination. Each acknowledgment is linked to the worker who sent it; a foreman’s reply does not stand in for the whole crew.
What does a typical day look like?
At the agreed times, workers receive Spanish or English prompts for your logging checkpoints and reply in the same chat. The foreman sends site readings and water or shade photos; workers send their own toolbox-talk and break confirmations. During the pilot, we organize the replies and flag missing records to the supervisor for follow-up.
What happens if someone does not reply?
Their acknowledgment stays missing. We flag it to the supervisor, who follows up and records what happened. An unanswered prompt is never counted as a completed break or acknowledgment, and an unresolved follow-up stays visible in the packet.
How do I receive the weekly report?
We email a PDF for each site with the supplied readings, site photos, recorded breaks, individual acknowledgments and timestamps. Missing records and unresolved follow-ups are included. You can download it and share it when records are requested. It documents submitted evidence; it does not certify compliance.
Does this make us OSHA compliant?
No, and no software can. HeatProof records what your crew did and packages the proof. The safety plan stays yours.
My crew won't download another app.
There's no app. Prompts arrive by WhatsApp; answers are a tap and a photo.
Will my crew actually answer the prompts?
One tap and one photo, in their own language, inside the app they already use. Nothing to install, no login, nothing to remember. That matters more than it sounds: when reporting means typing, translating, or logging in, participation collapses. The whole flow takes about 20 seconds. The refundable deposit is there so you can watch your own crew's response rate before you commit.
Half my crew works in Spanish.
Every prompt and acknowledgment is per-worker English or Spanish. The packet you receive is in English.
Is this surveillance of my workers?
No. What gets logged is the job site: heat-index readings, rest-break confirmations, toolbox-talk acknowledgments, and the photo the crew chooses to send. No continuous location tracking, nothing captured between prompts, no monitoring of anyone's own phone. It cuts both ways, too. The same records that answer an inspector document that breaks were offered and taken, which is what you would point to if anyone later disputes what happened, the crew as much as the company.
What if we already have a heat plan?
Even better: we digitize your plan's checkpoints as the daily prompts. No plan? We set up a standard log you can build on.
